Frequently asked questions regarding the WorldTour package.
General Questions
Make sure that you and your colleagues have turned on the location sharing in the Live app settings. Full details of location sharing available here.
It could be that your user’s access has been removed from the Race Hub on purpose. If not then the most likely reason is because you have logged into Strava using a different method/email and are now not connected with the account that has access to the Race Hub.
Head to the check page to see what Race Hubs your current Strava user has access to. If none, follow the instructions shown to log out of VeloViewer & Strava, re-log into Strava with the correct information and hopefully then regain access.
We would strongly recommend against doing this. It will become very hard to remove access from people that have access to the login details to a shared Strava account. Having individual users connected means you can easily remove access when people leave your organisation.
For users that need access to the Race Hub – provide access to each of their personal Strava accounts. We also don’t recommend setting up specific Strava accounts to access VeloViewer if they already have an account as they will inevitably log in with the wrong account and not have access to the Race Hub.
For people that only need access to the Live app, use the “Single Race Live App link” that provides read-only access for that single race.
Yes you can using the Import button on the Waymarker panel Full details available here.
Race Organiser Questions
A suitable representative of the Race Organiser should get in touch with worldtour@veloviewer.com providing your Race Organiser name and a list of AIOCC registered races.
A Race Organiser will be set up with an individual Race Hub containing placeholders for all their AIOCC registered races.
The nominated ‘admin’ person within the Race Organisation will then be able to add other users to the Race Hub. There is no limit to the number of users.
Of course. If your organisation already has a Race Hub set up (for an AIOCC race) then there is a small charge per stage to support your other races (any level/category). If you don’t have any AIOCC races, there is an additional annual fixed cost to set up and support your Race Hub as well as the per-stage cost. Get in touch with worldtour@veloviewer.com for more information.
Top tips for waymarkers:
- E (Essential) waymarkers: Climbs, sprints, pavé, gravel.
- Climbs: Always use a “KOM Start” waymarker to show the start location of the climb. Climb length and average gradient will then be calculated and shown automatically. The red KOM waymarkers are to be used for climbs that are used for a mountain prize/jersey. The KOM is where you don’t use climb categories. The blue “Summit” is mainly for use by teams to allow them to highlight climbs that aren’t part of a mountain competition. Add the climb name to KOM Start and KOM waymarkers as the teams like to see this.
- Sprint/Bonus: Make sure these are as accurate as possible. Use StreetView to help. Teams rely on the accuracy of the location to execute their lead-outs and sprints successfully.
- Pavé/Gravel: Always use a “Sector end” waymarker to mark the end of the sector. Then the length (and average gradient) will be calculated and shown automatically. Add the sector name and * rating (if known) to the waymarker text.
- H1-3 Hazards: Please see the SafeR recommendations. If adding the generic “! Warning” waymarker, always add text to explain what the hazard is rather than leaving teams to try and work it out.
- Info: PPO, parking, race HQ, anti doping, deviations, hotels. Provide as much information as you can.
- R1-R6: Internal to race organisation. Add waymarkers to highlight other hazards, signage, marshals, to help with race schedule generation and for any other purpose that is useful.
- UCI: These enable SafeR analysts to add queries about the course as well as to allow UCI Commissaires to mark incidents and near misses during the race.
There are a few ProTeams and many Continental teams that aren’t using the VeloViewer WorldTour package or have chosen to use the “basic” package and aren’t opting to include your “official” race info. Therefore you should still share your race information with teams with route files, road book and race schedule. Of course if you have all of your race routes and waymarkers in VeloViewer, you can use VeloViewer to help you create the required information.
The KMZ file is the best file format to share with teams as this format allows you to provide the richest set of information. This will include the route, all of your waymarkers (E/H1/H2/H3/Info) including the exact images (including colour and options) and notes. Make sure you check the “team export” option when downloading the file so it excludes race organiser notes and R1-6 and UCI waymarkers. GPX files will also include the waymarkers but the schema for what a GPX can include is much more limited and it can’t include images, so better to share the KMZ files.
There are a number of ways you can use information and graphics from VeloViewer to help with your documentation:
- You are welcome to use 2D and/or 3D images of stage and climb profiles. There are options to add gradient or waymarker information. For the “VV” 2D image, just right click on the image and save the PNG. For the 3D image, use the “Get Image” button to open the popup where you can select the image size to generate, then right click and save the image.
- You can use the “CSV” export just above the Waymarker list which will provide you with the raw data for use in a race schedule. Expected times for each location are based on the km zero time and the three speed options. After route changes, exporting a new version will have updated distances and times.
- All of the waymarker images can be downloaded from the “Help” button above the waymarker list, and then clicking the “ZIP” button at the bottom of the popup. You can then use these in your road book if useful.
You sure can. Any waymarkers you add with a level of R1-6 will only be visible to uses in your organisation so how these are used is up to you. There are generic (Race Organiser) “RO Circle”/”RO Square”/”RO Triangle” waymarker types that you can use with the colour option and level to highlight anything you like e.g. marshal locations, signage. You can also add a hash tag to the Race Organiser notes field for a waymarker to show text on the map next to the waymarker image e.g. “#24” in this field will show “24” on the map.
Moto marshals can of course use the Live app on a phone or tablet mounted to their handlebars. Providing them with the “single race live app link” is the easiest option as you don’t then need to set each marshal up with their own access. The compact view was designed for phone use on a motorbike in order to make the waymarker list easier to see.
When opening the waymarker popup on the route map in the Race Hub, you will see a WhatThreeWords link which you can share with the marshal/volunteer so they know exactly where they are needed without needing to give them access to the Live App.
You cannot make changes directly to a route in VeloViewer WorldTour as it is not a route mapping tool. We recommend using RideWithGPS (or your own preferred tool) to plot your route and then download the GPX file. From there, to remain in control of your own route whilst in preparation/recon you should use a Training Camp. Otherwise if the routes are already uploaded to the UCI race then send the file to worldtour@veloviewer.com and we will upload it.
Team Questions
A race will only appear in your Race Hub if it has been selected from the calendar on the Race Admin page. If it has then it will either be in Planned Races if the routes have not yet been received else Upcoming Races if they have. Please contact your colleague in the Team who has Race Admin access to check if the race has been selected.
UCI Commissaire Questions
answer.
Media Questions
We seek permission for AIOCC races for sharing routes with the media. If permission is given then the routes will be available from 14 days before the race start date and this date will be shown alongside the race in Planned Races. If the race is not available in your Race Hub then please contact your internal admin staff that are linked in the blue message at the top of your Race Hub to request the race you require. They will source the route files and upload it for you.
